OPEN POSITIONS

  • Position Title: Administrative Assistant

    Reports to: Executive Director

    Status: Part Time (10-20 hours per week)

    Overall Function

    This role is key in supporting the Executive Director and Board with good communication and solid financial reporting. The Administrative Assistant will be an integral part of a team of nine part time individuals, within a non-profit organization that empowers approximately 300+ individuals with disabilities who are involved in the creation of the products. Other key duties include monitoring financials, collaborating with the accounting firm, and communication with vendors. This part-time position is in Grand Rapids, MI.

    Essential Overall Duties

    Responsible for participating in the positive environment of Beer City Dog Biscuits in a manner that fulfills and furthers the mission of the organization as defined by the Board of Directors.

    Administrative Support and Communication

    • Communicates effectively with the Executive Director (ED) and provides reports in a timely and accurate manner

    • Daily maintenance of inquiries that come into BCDB general email Info account – responding or disseminating all email messages

    • Opening and sorting US Postal mail

    • Provides support to ED and Board of Directors on projects as directed, which may include gathering, compiling, and reporting of information relevant to assignment

    • Attending board meetings and taking minutes; preparing meeting agenda and other documents

    • Assists in communication to further relationships with vendors, community members & families, as well as our community at large

    • Track, maintain, and order logo wear/merchandise

    • Maintain and order office equipment and office supplies

    • Maintains communication with Sunshine Community Church (SCC)

    Organization and Financial Duties

    • Maintains the organization’s calendar

    • Daily monitoring of accounts–including invoicing customers, updating accounts receivable/payable

    • Deposits checks/cash that come in

    • Regular communication with Executive Director and Accounting firm on financial transactions

    • Inputs data and donations into database (Bloomerang and Qgiv)

    • Prepares for event and market attendance (cashbox, supplies and products)

    • Provides financial updates for ED, accounting firm as directed

    Qualifications

    • Minimum of 3 years of administrative support experience

    • Knowledge of QuickBooks helpful

    • Positive attitude with excellent communication skills

    • Demonstrated commitment and ability to work with diverse groups of people

    • Strong organizational skills. Must be able to manage time and schedule effectively

    • Previous non-profit setting experience would be advantageous
